Social media training software selection: test one task
Social media training software selection: run one assessed learner task end to end through evidence, privacy, accessibility, security, contract and exit gates.
Start social media training software selection with one assessed learner task, not a vendor demonstration. Define what the learner must produce, what an assessor must inspect and what must remain exportable after the contract ends. Keep the current manual route as a comparator until a candidate passes every mandatory gate.
What to take away
- Start selection with one assessed learner task rather than a vendor demonstration.
- Keep the current manual route as a comparator until a candidate passes every mandatory gate.
- Separate mandatory requirements from preferences, and write an acceptance step for each.
- Do not average gate results, because a failed deletion test is not repaired by quiz formatting.
- Hold selection when an owner, evidence file or acceptance result is missing.
Fix the test case
Use a synthetic product brief and fictional audience. Ask one learner to draft an accessible social post, attach the evidence for an objective claim, identify the required approval and submit the work against a versioned rubric. Do not allow live brand credentials or customer information into the test.
One learner test route
- Synthetic brief and fictional audience
- Draft accessible social post
- Attach evidence for objective claim
- Identify required approval
- Submit against versioned rubric
Make the test case do social-media work rather than generic e-learning work. Build in scheduling a post to the platforms the team actually uses, such as LinkedIn, Instagram or TikTok, checking the platform preview and character limits, replying to a sample comment, applying the platform's advertising and community guideline rules, and finding media or hashtags in the library. Ask for the finished post and its assessment evidence as a CSV, SCORM or xAPI export that keeps the rubric version and the assessor's comments.
Record the eligible learner population, environment, browser, assistive technology, course version, assessor and expected artefacts. Completion means the learner finished the route. Competence means the submission met every mandatory rubric item. Neither is evidence that the training caused a later sales or service result.
Separate need from preference
Mandatory requirements should be few and observable: individual accounts, least-privilege roles, accessible learner tasks, versioned content, assessment evidence, usable export and a tested removal route. Branding, optional libraries and certificate badges belong in a preference column unless the business case proves otherwise, and where a recognised certificate is part of that case, record which awarding body issues it, whether it is Ofqual-recognised and how the assessment is verified.
For each requirement, write an acceptance step and the evidence file to retain. "Supports accessibility" is too vague. "A keyboard-only learner can enrol, reach the task, submit it and read feedback in the configured theme" can be tested.
Request evidence before a trial
Ask every supplier for the exact service and edition, contracting entity, billing unit, renewal, support boundary and change policy. Request its data-processing terms, subprocessor list, support-access countries, retention, export and deletion process. The ICO's guidance on contracts and liabilities between controllers and processors sets out the UK GDPR contract issues, although the page is under review following the Data (Use and Access) Act 2025.
Map actual transfers rather than accepting a data-centre label. The ICO's January 2026 international-transfers guide separates roles, entities and restricted-transfer questions. A named UK privacy reviewer must assess the proposed flow. Learner administration, research and later promotional messages also need separate purpose and PECR decisions.
Test the configured service
Create trainer, learner, assessor and administrator roles. Verify enrolment, privilege boundaries, failed-login handling, account removal, content versioning, accessible use, marking, export, restore and supplier contact. The NCSC's SaaS security guidance covers user lifecycle, authentication, administrator protection, incident response and recovery. It does not certify the candidate.
Accessibility evidence must cover the purchased interface and uploaded learning material. GOV.UK's technology accessibility guidance asks public-sector buyers to examine standards, testing and evidence; the standard to test against is WCAG 2.2 at level AA, and public-sector buyers also sit under the Public Sector Bodies (Websites and Mobile Applications) Accessibility Regulations 2018. Apply those questions to the real learner journey, then route barriers to a named accessibility reviewer.
Give each evaluator one question and authority. The learning owner judges the assessment trail, the security owner checks access and recovery, and the accessibility owner can stop a route that excludes an eligible learner. Preserve dissent instead of forcing a consensus score.
Make a gate decision
Mark learning fit, privacy and PECR, accessibility, security, intellectual property, contract, procurement, finance and exit as pass, fail, unknown or not applicable. Do not average the results. A failed deletion test is not repaired by better quiz formatting.
Hold selection when an owner, evidence file or acceptance result is missing. If the manual baseline remains safer and meets the learning job, keep it. Before publication or purchase, assign an author and fact-checker and obtain named specialist review of every applicable gate.
Before you act
- Define the learner task, assessor checks and exportable artefacts.
- Record learner population, environment, browser, assistive technology and course version.
- Request data-processing terms, subprocessor list, retention, export and deletion process.
- Create trainer, learner, assessor and administrator roles, then test privilege boundaries.
- Give each evaluator one question and the authority to stop a failing route.
- Mark each gate pass, fail, unknown or not applicable.
Common questions
What should a buyer test before a vendor demonstration?
Start with one assessed learner task. Define what the learner must produce, what an assessor must inspect and what must remain exportable after the contract ends. Use a synthetic product brief and fictional audience, and keep live brand credentials or customer information out of the test.
How should mandatory requirements differ from preferences?
Mandatory requirements should be few and observable, such as individual accounts, least-privilege roles, accessible learner tasks, versioned content, assessment evidence, usable export and a tested removal route. Branding, decorative certificates and optional libraries belong in a preference column unless the business case proves otherwise.
What happens when an evidence file or acceptance result is missing?
Hold selection. Mark learning fit, privacy and PECR, accessibility, security, intellectual property, contract, procurement, finance and exit as pass, fail, unknown or not applicable, and do not average the results. If the manual baseline remains safer and meets the learning job, keep it.
