Part of Social media training: how to scope it and request comparable quotes
Scoping a social media training purchase, from quote units to exit work
Scope an England social media training purchase by recording quote units, staff time, learner support, specialist controls, VAT evidence and exit work.
What to take away
- The real cost of a social media training purchase is the supplier fee plus your own staff hours, learner hours and exit work.
- Freeze one written specification, then send the identical version to every bidder.
- A funding band caps eligible public money for an apprenticeship; it does not set the fee an employer negotiates.
- Record the quoted net amount, the supplier's VAT treatment and your own recoverable VAT as three separate fields.
- Add accessible formats, platform set-up and data deletion at contract exit before you approve anything.
Freeze one purchasable unit before you request prices
A quote is comparable only when it covers the same package. Write down the named eligible learners, the social media tasks they must perform, the delivery period, the live or self-paced format, guided teaching hours, practice tasks, assessment attempts, completion evidence and post-course support.
State who supplies devices, platform accounts, example briefs and analytics access. Say whether you are buying teaching hours or an assessed social media certification, because a vendor badge and an accredited qualification are priced and reviewed differently.
Providers rarely answer the same brief in the same shape. Our comparison of CIM, M Training and HubSpot Academy social media courses sets out what each route includes, so you know what you are buying before a number arrives.
For an apprenticeship route, read the Skills England guidance on allocating apprenticeship funding bands first. The band limits eligible funds, and employers negotiate the training and assessment price.
Example: one package at 12 learners and at 30 learners
The figures below are illustrative arithmetic for your own spreadsheet. Replace every unit with a real quote.
Fixed lines do not shrink when the cohort shrinks. A twelve-learner cohort carries the same platform set-up and exit review as a cohort of thirty, which is why a headline per-learner price misleads.
One package at 12 and 30 learners
12 learners
- Supplier fee, illustrative £300 per learner
- £3,600
- Set-up and platform access, illustrative £450 fixed
- £450
- Internal admin, illustrative 4 hours per learner at £22
- £1,056
- Learner time, illustrative 6 hours each at £18
- £1,296
- Exit work: export and deletion review, illustrative £600
- £600
- Illustrative total before VAT
- £7,002
30 learners
- Supplier fee, illustrative £300 per learner
- £9,000
- Set-up and platform access, illustrative £450 fixed
- £450
- Internal admin, illustrative 4 hours per learner at £22
- £2,640
- Learner time, illustrative 6 hours each at £18
- £3,240
- Exit work: export and deletion review, illustrative £600
- £600
- Illustrative total before VAT
- £15,930
Recalculate whenever the learner count, delivery date, contract term or tax treatment changes. A revised count can move the package into a different support tier.
Quote fields to record for each supplier
Record one line per supplier line item, continuing the twelve-learner example above. A price without a unit, validity date and evidence cannot be approved, and a price without its own VAT field cannot be compared with a rival bid.
Quote fields to record
- Quoted net amount
- £3,600
- Unit and quantity
- £300 per learner x 12
- Supplier VAT treatment
- Standard-rated at 20 per cent as invoiced
- Gross cash requirement
- £4,320
- Recoverable VAT
- £720, subject to business purpose and partial exemption
- Evidence and date
- PDF quote, valid 30 days
- Confidence and review trigger
- Medium; review if learner numbers change
Our blank England training budget carries the same columns, so the cash, accounting and tax views stay apart without a rebuild.
Whether a course is exempt depends on the provider and the circumstances of supply. Check VAT on education and vocational training, Notice 701/30 before assuming either treatment.
The supplier invoice does not settle your recovery position. HMRC's guidance on reclaiming VAT on business expenses ties recovery to registration, business purpose, evidence and any partial exemption.
Your own staff hours, accessibility and exit work
Cost discovery, procurement, content review, learner administration, manager cover, practice, assessment and record retention all come off your payroll. Load each hour at your own rate rather than a sector average.
HMRC's National Minimum Wage manual at NMWM08290 treats employer-approved training as working time for minimum wage purposes. Confirm the treatment with payroll before planning around unpaid attendance.
- Add captions, transcripts and accessible handouts, plus the cost of testing them.
- Budget platform account set-up, permissions and a security review.
- Include data export, deletion and licence checks at contract exit.
- Add a renewal or refresher line for the second year.
Training costs that go missing, from learner time to copyright permissions, lists the lines buyers forget most often.
Exit work is easy to overlook. Where recordings, learner accounts or assessments are used, ask for data deletion, access removal and a written position on reusing course materials.
Common questions
Is a funding band the fee I pay for an apprenticeship?
No. The band caps the eligible public contribution, and the employer negotiates the price with the provider. A price above the band is possible, and the difference falls to the employer.
How should VAT on a social media course be handled?
Record what the supplier states on the invoice, then decide recovery separately from your own VAT position. A course bundle that includes coaching can be treated differently from the course alone.
What internal time is usually underestimated?
Learner hours, manager cover and content review are missed most often. Add accessibility testing and contract exit as separate lines rather than a percentage of the fee.
What has to be known before approval?
The competence test, amount, unit, VAT basis, evidence date and exit work. If any of those is blank, stop the purchase rather than approve an estimated total.
